Subject: Archiving old files

Date: November 15

Because of the high volume of electronic files that are currently on our server, you may have noticed that our computer system has recently begun to slow down considerably. For this reason, we are implementing the use of a new archive system. This mass-storage system will allow everyone to store the files that they are no longer using. The files will be removed from our active server and placed into long-term storage. You will still be able to pull these files from the archives when needed, but they will no longer slow down our computers.

Please take some time this week to flag old files that you have saved on the server. These should include any files from previous editions of our magazine that you do not intend to reuse in future versions of the magazine. Compile a list of the file names and locations and send via e-mail to Mitchell Asbury to authorize him to move the files to the archive system. If you should find that later you need to access archived files, please contact Mitchell at x876 and he will retrieve the files for you.

D. style

E. version

4. Which of the following new situations describes another type of archive system?

F. A hotel may use an archive system to take inventory of the cleaning supplies used by the maid staff.

G. A car dealership may use an archive system to track automobiles on their lot by model, color, and options.

H. A library may use an archive system to store rare books, written records, original published papers, and valuable documents.

J. A department store may use an archive system to record current sales and returned products.

K. A hospital may use an archive system to enter medical information for new patients.

3. E. version

Explanation: In the context of a periodical or magazine, an "edition" refers to a particular version of the publication issued at a specific time (such as a previous issue).

4. H. A library may use an archive system to store rare books, written records, original published papers, and valuable documents.

Explanation: An archive system is designed for long-term storage of items, records, or documents that are no longer in active, daily use but need to be preserved. A library storing rare historical documents and past records parallels this archival purpose.
